Presentation Instructions:

1. If a paper is not presented (oral or poster) by one of its authors, then the paper will be withdrawn from the proceedings and from IEEE Xplore.
2. Authors may not delegate presentation of their paper to a non-author in attendance.

Oral Presentation:

1. Please meet the session chair for your session at least 15 minutes before the session begins.
2. If you are using your own laptop for the presentation, please ensure that it is compatible with the LCD projector present in the room. As a precautionary measure, please also bring a USB memory stick containing your presentation.
3. If you will be using the laptop present in the conference hall, please bring a USB memory stick containing your presentation. The laptop will have Microsoft PowerPoint available in it.
4. You must ensure that your presentation does not exceed 15 minutes. This will give 5 minutes for the session chair and audience to pose questions.

Poster Spotlight Presentation:

1. During the Spotlight Session, poster presenters will have the opportunity to give a brief two-minute oral highlight of their poster in the conference hall. This presentation will serve as a prelude to the audience who will then view the poster in the following session.
2. To facilitate this, every presenter should prepare a two-slide presentation. This presentation should not contain any video or audio objects. Note that each presentation should have exactly two slides (including the title slide). The template is uploaded at IJCB2014 website.
3. The slides should be uploaded to CMT by September 24, 2014. These presentations will be preloaded onto the conference laptop and cannot be modified. We regret that we cannot accommodate poster presentations on USB sticks brought to the session at the last minute, or presentations on authors’ laptops.
4. The slides in the Spotlight Session will be presented in quick succession. Therefore, each presentation must not exceed two minutes

Poster Presentation:

1. All posters must be necessarily mounted before 8:30am on the day of the presentation. Mounting boards and pins/adhesives will be available in the poster room.
2. The posters in each session will be numbered. The list of numbers will be posted next to the board. Please use your numbered location.
3. The maximum space available for the poster is 72 inches wide and 48 inches tall.
4. Authors must be present at their poster for the entire duration of their session.
5. Posters must be removed from their mounting only after the end of the final oral session on the day of the presentation.

1. REQUIREMENT to submit a properly formatted PDF version of the paper to CMT, along with an IEEE Copyright Transfer form, by July 20th, 2014.

Only PDF files are acceptable. These files must be less than 10MB in length. The CMT site used for review also will be used to collect the camera ready copies of papers to publish. The process for submitting final copies of papers is as follows:

1. If you have used the IJCB manuscript template, make sure to uncomment the line starting with: %\ijcbfinalcopy
2. Use the IEEE's PDF eXpress validator to check compliance of your manuscript. PDF eXpress can validate PDF files you submit, and it can also convert source documents (MS-Word, WordPerfect, RTF, LaTeX, etc.) to PDF files for you. The conversion feature does not always succeed.
   
   1. Go to the site http://www.pdf-express.org.
   2. Create an account for yourself by following the link "New Users Click Here". The conference ID is 32250X.
   3. Use the site's facilities to validate your document.
   4. In our experience, 90% of the failed validations are due to font embedding issues. If your validation fails, make sure that embeddable fonts are used exclusively, including the captions and text of figures and tables. If you Google "pdf express problem" you will find lots of advice on how to fix validation problems.
   5. You cannot skip the validation step. IEEE will revalidate every file we submit for inclusion in IEEE Xplore, and will not fix or ingest files that fail validation. If it's not ingested, it is not archival.
   6. The validation step does not enter your final paper into CMT; so do not stop once you have a validated file.
3. Once your paper has been validated by PDF eXpress, login to your IJCB 2014 CMT account. Choose the "Author" role if necessary. Your paper listing(s) will appear. For each accepted paper, please perform the following steps:
   1. First, click "Submit IEEE Copyright File". You will be taken to a page where you may complete and upload an electronic copyright form for the paper.
   2. Follow the link to the IEEE Copyright Web Site. Go through the dialog to generate a copyright form. The copyright form will be emailed to you as an attachment (probably named CopyrightReceipt.pdf). You may also download the file directly.
   3. Click the "Return" button to return to CMT. At the CMT page for copyright submission, upload the CopyrightReceipt.pdf to CMT.
   4. Return to your CMT Author console.
   5. Click "Edit" in the "Camera-Ready|Presentations" column and enter the wizard for final paper submission. Use the "Next" button to proceed through the pages of the wizard (or use the navigation links on the left).
   6. Check and update the paper title and abstract if they have changed since your original submission.
   7. Check and update the list and order of authors to match your final paper exactly. We will generate the program from CMT's records so it is your responsibility to ensure that the title, authors, and order of authors matches the paper.
   8. Upload your PDF file that has been validated by PDF eXpress. You must explicitly agree to the Additional Questions in order for your final paper to be placed in CMT. Complete the submission on the Confirmation page.

2. A paper can be up to 8 pages - the 7th and 8th pages will incur a cost of $100 per page.

3. REQUIREMENT to register for the meeting by July 31st, 2014 attend the meeting, and present your work.

In November 2008, IEEE authorized conference organizers to withhold papers from IEEE Xplore if an author does not attend the meeting and present the paper. We continue to enforce this policy. You should recall checking a box agreeing to this requirement at the time of your original submission.

The benefit to an author of a conference paper is the placement of that paper in the archival literature, where it accumulates citations and contributes to the reputation of the authors. Publication is a privilege and carries obligations. For a conference, the obligations are to attend the meeting and to present the work. Papers that are accepted by the conference after peer review but are not presented at the meeting will not be published. Distribution at the meeting is not considered publication.

Accordingly,

1. An author of each accepted paper must register for the conference by July 31st, 2014. The registration page is here.
2. The decision notification deadline was chosen to facilitate the timely receipt of US visas for international authors. Authors are responsible for a timely application for US Visa. The Conference secretariat will provide letters of invitation as needed.
3. Papers accepted for the meeting must be presented by one of the authors, and at least one of the authors must register for the meeting at the author rate.
4. A registration at the Author Rate will cover only 1 paper.
5. If no authors attend the meeting to present their work, the paper will be withdrawn from the proceedings and from IEEE Xplore.
6. Authors may not delegate presentation of their paper to a non-author in attendance.
7. Submitted papers may not be accepted by or under review for publication in any other venue.

Prospective authors should submit full length papers (up to 8 pages - the 7th and 8th pages will incur a cost of $100 per page in the final version) in IEEE format. Submitted papers should not have been published, accepted or under review elsewhere. All papers will be subjected to a double blind review process. Paper submission steps:

1. Use the templates provided above to prepare your manuscript.
2. Ensure that the contents of the manuscript do not divulge the identity of the authors.
3. Submissions may be up to eight pages long. Note that the 7th and 8th pages will incur a cost of $100 per page in the final version.
4. Register and upload your manuscript at https://cmt.research.microsoft.com/IJCB2014/ .

Instructions for anonymizing your submission (for double blind review process):

1. Remove author names, affiliations, email addresses, etc. from the paper.
2. Remove personal acknowledgments.
3. When reporting experiments on data collected in your lab, consider stating this as "This experiment was conducted using data acquired in our labs". Do not state this as "This experiment was conducted using data that was collected in our labs at Mars University".
4. When citing your own work in the narrative, ensure that the narrative does not divulge your identity. For example, assume that you have the following bibliographic item co-authored by you:
   [1] A. Alice and B. Trudy, "On Anonymizing Papers: A Case Study," 2006.
   
   When citing your own work, consider using the following statement:
   The work by Alice and Trudy [1] demonstrates the possibility of generating anonymous papers.
   or
   The notion of anonymous papers has received considerable attention in the literature [1],[2],[3].
   
   However, do not state the following:
   Our previous work [1] showed that generating anonymous papers is possible.

Note that, during IJCB 2014 review process, the paper should not be submitted to other conferences, workshops, journals, or any other open access archiving servers. Submitted papers may be checked with a plagiarism detection tool. At least one author of each accepted paper must register at the “Regular Rate” before the paper registration deadline. Each author registration applies towards only one paper. If an accepted paper is not registered and/or not presented at the conference, it will not be included in the conference proceedings.
